  1. A bin per drawer or case

    Match the storage you already have rather than inventing categories. The thread box is a bin; the shelf it sits on is the location.

  2. Record a quantity, not just a name

    Every item carries a count. This is the field that does the work here: a supply inventory without numbers answers the wrong question.

  3. Set a minimum on what you cannot run out of

    Give an item a minimum quantity and the app flags it once the count drops to it. It is the difference between finding out on Sunday and finding out on the way past the shop.

  4. Tag by project, color, or material

    Tags are free text and searchable, and semantic search will find “dark gray worsted” without you having had the discipline to tag it that way.

The two failure modes have one cause

Over-buying and running out look like opposite problems and get treated as separate ones: the first as a discipline failure, the second as bad luck. They are the same failure. Neither would happen if there were a number attached to the thing.

This is why a supply cupboard resists the ordinary tidying advice. Sorting it beautifully by color does not tell you how much of anything there is, and a cupboard that looks organized while still being unquantified will produce both failures again by spring.

A minimum quantity is the smallest useful version of the fix. You do not need to count everything; you need a threshold on the dozen items whose absence stops a project, and the rest can stay approximate for as long as you like.

How do minimum quantities work?
Set a minimum on an item and it is flagged as low once the count drops to or below it. Low-stock items are collected together in the app so the restock list is a screen rather than a memory.
Do I have to count everything exactly?
No, and you should not try. Exact counts on consumables go stale immediately. Put real numbers on the handful of things whose absence blocks a project and leave everything else as a rough figure.
Does it scan barcodes?
Yes. The mobile app scans the code, saves it on the item, and checks two public product catalogs (UPCitemdb, then Open Food Facts), filling in the name, description and tags where you have left them empty. It never overwrites what you have typed, and if neither catalog knows the product the code is still saved.
Can I organize by project rather than by drawer?
Use tags for that. Bins should stay physical (the drawer the thing is actually in) because a bin that means a project rather than a place stops being able to tell you where anything is.
